Here’s the hard truth: your calendar is your culture.

I’ve coached leaders who were drowning in meetings, running on fumes, and reacting to everyone else’s priorities. Their teams felt it too—confusion, burnout, and stalled progress.

When they built simple systems to lead their time, something shifted. They gained hours back. They gained clarity. And they gained credibility with their teams.

Your calendar is a mirror. It always shows what you value most.


The 5 Anchors of Effective Time Leadership

  1. Prepare the Night Before. Great leaders don’t wake up wondering what the day holds. They review their calendar before bed and again in the morning.
  2. Check-In Rhythm. A quick calendar review at lunch and a Friday look-ahead keeps you two weeks in front of your team and priorities.
  3. Protect White Space. Build margin for unexpected fires. No leader survives without buffer time.
  4. Differentiate Energy vs. Time. Time blocks matter, but energy blocks matter more. Guard your best energy for your highest-impact work.
  5. Lead by Modeling. If your team sees you running frantically and reactively, they’ll copy it. Show them what it looks like to protect time and focus.

  • Block out focus time for strategic thinking just as firmly as meetings.
  • Set boundaries on email and phone checks. Don’t let other people’s priorities become your plan.
  • Use the Pareto Principle (80/20) to focus on the 20% of tasks that yield 80% of results.
  • Audit your calendar monthly. What gets too much attention? What doesn’t get enough?
